Privacy notice for applicants

Who we are

Your Digital Media is the trading name of Beyond Digital B.V., Koninginneweg 235-2, 1075 CT Amsterdam, the Netherlands (KvK 90902351). We decide how your application data is used. Questions or requests: hello@yourdigital.media.

What we collect

What you give us: your name, email, LinkedIn link, CV, links to your work, where you are based, your working hours, the kind of work you want, your start date, your fee, and your answers in each round. In Round 2 we also get your Loom video. In Round 3 we get read access to the GitHub repository you share. We read only the changes you made to our starting code. Once we decide on Round 3, we take our account off your repository. We also keep the text the AI tool read (with your full name, email and phone taken out) and what it suggested, until we delete your application. We also note which link or website brought you to the page (for example a job board, LinkedIn or our own site), to learn which channels work, and nothing else about your visit.

Why, and on what basis

To decide on your application and, if we both want to, to agree a contract with you. The basis is taking steps at your request before a contract (GDPR Art. 6(1)(b)) and our interest in hiring the right people (Art. 6(1)(f)). If you tick "keep my application for 12 months", that longer keep rests on your consent (Art. 6(1)(a)). You can withdraw it at any time by email. We never use your data for anything else and never sell it.

How we read applications

An AI tool (Claude, made by Anthropic in the US) reads your CV, links and answers first and suggests a next step, quoting what it saw. In Round 3 it also reads your note and the changes you made to our code. It also writes a short summary of your application for us, with no score or advice. We take your full name, email and phone out before it reads them. It is told to ignore age, sex, nationality, family status, health and anything else unrelated to the work. A person at Your Digital Media makes every decision. If you would rather a person read your application without the AI tool, email us at hello@yourdigital.media and we will turn the AI tool off for your application.

Your right to object

You can object to our use of your data that rests on our interest in hiring (Art. 6(1)(f)), including the AI tool reading your application. Email hello@yourdigital.media. From then on the AI tool does not read your application, and a person decides.

Who else handles it

Vercel (hosting), Supabase (database and file storage), Resend (email), Anthropic (the AI tool), Loom (your video, in your own Loom account), GitHub (your Round 3 repository) and Cal.com (booking your call). Some are in the United States. Where our hosting, database and email providers offer the EU standard contractual clauses or the EU-US Data Privacy Framework, we rely on those.

The AI tool is different. It runs on our own paid Claude plans, with model training switched off. We have no separate data processing contract with Anthropic. So Anthropic handles what it reads under its own privacy policy, and may process it in the United States.

How long we keep it

Four weeks after we decide, then we delete it. If you tick "keep my application for 12 months", we keep it for 12 months after we decide, in case another role fits, then delete it. You can ask us to delete it sooner at any time. Backups and our providers' own logs follow their own schedules. If we hire you, your data moves to your contractor file.

Your rights

You can ask to see, correct or delete your data, to object to how we use it, or to take a copy. Email hello@yourdigital.media. You can also complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).
